Are you an experienced Personal Assistant looking for a dynamic role where you can truly make a difference?
Phoenix Medical Supplies are seeking a reliable and proactive individual to join our Executive Support Office, providing comprehensive administrative support to our Directors.
Key Responsibilities:
- Oversee all administrative activities, including diary coordination and board activities.
- Manage travel arrangements, including flights, hotels, and car hire.
- Extensive diary management using Microsoft Office.
- Support Directors on confidential special projects.
- Prepare Directors for meetings with agendas, minutes, and presentations.
- Monitor and respond to emails and correspondence.
- Submit expense claims and reconcile credit card accounts.
- Coordinate international managers’ meetings.
- Attend meetings to take actions and minutes.
- Act as the first point of contact for Directors and accommodate visitors.
- Ensure meeting rooms are prepared and provide AV support.
What We’re Looking For:
- Proven experience as a Personal Assistant at Board Level.
- Strong planning and organisational skills.
- High proficiency with MS Office.
- Ability to work to tight deadlines and manage competing demands.
- Excellent verbal and written communication skills.
- Strong time management and organisational skills.
- Ability to build good working relationships at all levels.
- A mature and proactive mindset.
